Unit 2 | Systemization

Reusable Instructions & PLAN.md

To move from casual exploration to a stable business workflow, AI instructions need structure, repeatability, and shared context. This unit introduces a practical prompting pattern, a collaborative workspace setup, and a PLAN.md brief that helps managers, teammates, and AI tools stay aligned.

Core Concept 1

The Prompting Gold Standard

Casual prompts produce unpredictable results. In a professional environment, prompts work better when they read like stable task instructions. We use a four-part structure: Task, Constraints, Steps, and Output Format.

Task

The core action. Use explicit, active verbs and state the business context clearly (e.g., "Analyze the contract to identify compliance risk").

Constraints

The boundary walls. Define what the AI is strictly prohibited from doing, word count limits, and stylistic or data boundaries to prevent hallucination.

Steps

Reasoning sequence (Chain of Thought). Guide the model step-by-step: analyze, cross-reference, draft, and self-correct before giving the final answer.

Output Format

Output shape. Define how the answer should appear, such as a Markdown table, JSON example, or template block, so teammates can use it without reformatting.

Structured Prompt Blueprint & Example

Below is a reusable template layout. Observe how it separates instructions from source content, guiding the model's behavior precisely.

# Role & Goal:
[Define expert persona and business value /

# Task:
[Define the core task to perform /

# Constraints:
1. Only reference provided data. Do not make up facts. /
2. Maintain a neutral, advisory corporate tone. /
3. Keep the output under 400 words. /

# Steps:
1. Extract raw data points relevant to the query. /
2. Compare data points against the benchmarks. /
3. Format findings as a structured summary. /

# Output Format:
Use a Markdown table with columns: [Parameter | Current | Benchmark | GAP /

Core Concept 2

Collaborative Workspaces: ChatGPT Projects

ChatGPT Projects

In a business environment, copy-pasting prompts for every discussion thread creates friction. ChatGPT Projects allows team managers to lock down custom instructions and upload master knowledge assets, creating a standardized workshop environment for specific goals.

Figure 2. Applying Custom Instructions: Pinned instructions dictate how the project agent responds to any user input, ensuring consistent styling.

Workspace Working Notes

  • Separate Knowledge from Prompting: Upload reference documents (e.g., branding guidelines, templates) as files. Keep the instructions focused on task rules.
  • Define Target Role: Clearly outline the workspace's primary purpose. A Project should focus on one business workflow, not everything at once.
  • Version Control: Update the custom instructions whenever there is drift in output styles or new constraints are introduced.

Core Concept 3

The Power of PLAN.md

A PLAN.md is a lightweight project brief written in Markdown. It keeps managers, business stakeholders, teammates, and AI tools aligned before the team starts building prompts or testing tools.

1. Goal & Users

Clearly state what business value this project unlocks, who the target users are, and why a basic chat prompt is insufficient.

2. Core & MVP Scope

Define the absolute minimum features needed to test the workflow. Draw a clear boundary: what is strictly excluded from Phase 1.

3. Constraints & Acceptance

List security, context, and compliance rules alongside objective test cases that define what "good enough to try" means.

Standard PLAN.md Template

標準 PLAN.md 模板

Use this markdown blueprint to describe your AI project idea clearly. It gives teammates and AI tools the same project context before anyone starts drafting or testing.

Workshop Pacing

Classroom Practice & Checklist

In this session, students will form teams to align on their project concept, draft a shared PLAN.md contract, and load their gold-standard instructions into a ChatGPT Project workspace.

Hands-on Activity
  1. Select your target business process (from Unit 1).
  2. Create a new file named PLAN.md and complete all 6 sections.
  3. Write a structured prompt for the primary analysis task using the Task-Constraints-Steps framework.
  4. Set up a new ChatGPT Project, paste the prompt as Custom Instructions, and upload sample files.
  5. Test the setup against your Acceptance Criteria.
Quality Checklist
  • Does the prompt restrict the AI from making up answers when data is missing?
  • Are the steps written as logical sequences (1, 2, 3) with short action lines?
  • Does the PLAN.md explicitly specify what is OUT of scope for the MVP?
  • Can a new engineer or AI subagent read your PLAN.md and understand exactly what to build?
